Frequently asked questions

Clear answers before implementation.

The Core is intentionally focused. Advanced modules can be added later without making daily time registration complicated.

01Can an employee start work without a scheduled shift?+

Yes. By default, an employee can select an active Project, optionally select an Assignment and start work directly. A company can later enforce a stricter schedule policy if required.

02What is the difference between a User and an Employee?+

A User is an application login. An Employee is the worker whose time is planned and recorded. An Employee may exist before receiving a User account, and an administrator or accountant may have a User account without recording time.

03Does Gatula Time calculate payroll?+

The Core records and approves working time. Payroll and Icelandic collective-agreement calculations belong to a separate future Labour Engine so the raw Time Engine remains stable.

04Does the Core issue legal invoices?+

No. Billing Preparation groups approved billable time, resolves rates and exports structured data. Legal invoice issuance, VAT and PEPPOL are outside the Core scope.

05Can employees see other employees’ hours?+

No, unless their role and explicit permissions allow company-wide access. Employee accounts are restricted to their own permitted records.

06What appears in a weekly timesheet?+

Each day shows its Time Entries, Project, optional Assignment, Clock In, Clock Out, break duration, net time, billable status, notes, warnings and approval status.

07Is there a mobile application?+

Yes. The mobile client is designed for employees and uses the same API and Time Engine as the web portal.

08Can data be exported?+

Authorized users can export timesheets and reports in supported formats such as CSV and Excel, with PDF available for report output.

09How is company separation enforced?+

Company-owned queries are scoped by company ID and protected again by policies and record-level authorization. Changing a UUID must not expose another company’s data.
